Wedding transfers in Antalya — 12 cars, one timeline

A behind-the-scenes view of how we run a 200-guest wedding logistics — for couples planning their own destination event.

A 200-guest destination wedding in Belek is half-planned by the venue, half by the transfer operator. Here is what we do behind the scenes.

Day -3: vehicle staging

We commit 12-16 vehicles depending on guest count. Mix of Eco Van (couples), Vito (families), Sprinter (large groups). Vehicles are washed and serviced 24 h before the first pickup.

Day 0: airport rotation

Guests typically arrive in 3-4 waves across 14 hours. We rotate drivers on a six-hour shift, each driver coordinated via group dispatch. Live arrival board shows all delays in one view.

Wedding day

Bridal car (usually V-Class with cream interior, white ribbons) arrives at the hotel 90 min before ceremony. Guest shuttle from rooms to ceremony location runs every 15 minutes. After ceremony, return shuttle every 10 minutes until 02:00.

Post-day departures

Departures spread over 2-3 days. We pre-assign each guest a slot at check-in to avoid the last-morning rush.

What you should ask your transfer operator

  • Single point-of-contact for the entire weekend (not a call-centre rota).
  • Fixed all-in price — not per-trip metering.
  • Bridal vehicle decoration included or specified.
  • Spare vehicle on standby for the wedding day (we always hold one).
